Claude, ChatGPT or Gemini: which one is best for what?

20 min · as of Oct 2026
You will be able to

Pick Claude, ChatGPT or Gemini for a task and say why, know what each one is best at in office work, and know my recommendation: Claude first, ChatGPT second, Gemini third (as of Oct 2026).

Three things to take away

  1. 1

All three now do the same big jobs: answer questions, research, make finished files, link to your apps, and carry out a task for you in steps. They differ in the details: what each makes best, where it lives, and which plan or account gets which feature.

  2. 2

One rule comes before any comparison: for company data, use the tool your company approves, on your work account.

  3. 3

My recommendation is Claude first, ChatGPT second, Gemini third. For a few jobs another tool wins, and this lesson says which.

A word on test scores. Each company publishes the tests it wins, chosen by the people selling the product. So I do not rank the three on vendor numbers, and you should not either. Try your own task in the tools you have.

My recommendation

My recommendation: Claude first, ChatGPT second, Gemini third.

This is my own view, for when you are free to choose. It sits next to the table above, not in place of it. The reasons below are the ones the vendors' own pages support.

Why Claude first

  • The simplest start to finish. Since 16 Sep 2026, Cowork is part of ordinary Claude chat (the change reaches accounts in waves). A quick question and a big task go in the same message box, with no mode to choose.
  • It asks before it acts, by default. Anthropic also reports that Opus 5.5 is harder to steer with hidden instructions and less likely to take actions that are hard to undo (Anthropic's own claim).
  • Finished office files on every plan, Free included. Claude Docs, Claude Slides and Claude Design, with one link to share, and downloads as PowerPoint or PDF.
  • Add-ins built for real spreadsheet work. Claude for Excel points to the cells it used and keeps your formulas intact. Claude also works inside Word, PowerPoint and Outlook, and inside Google Docs, Sheets and Slides (beta).
  • One Customize page for connectors, skills and plugins, and they follow you into Claude Code.
  • The skills format all three now use began at Anthropic.

Why ChatGPT second

  • ChatGPT Work is a strong agent. It has its own cloud browser for websites you sign in to, and scheduled tasks that start when an email or a message arrives.
  • A wide set of everyday features: voice, images, Sites, and ChatGPT for Word even on the free plan.
  • OpenAI's own tests put GPT-6 Astra ahead on using a computer, and OpenAI calls it its best model for following company templates (OpenAI's own claims).

Why Gemini third

  • The best fit when your company already runs on Google Workspace. Gemini sits inside Gmail, Docs, Sheets and Meet.
  • A generous free plan, with Deep Research, Gemini Live and Canvas.
  • But for now its agent (Task), its custom apps and its skills are for personal accounts, and many features start in the US and in English only.

Where another tool wins, and I would use it

  • Pictures and video: ChatGPT or Gemini.
  • Meeting notes in Google Meet, and writing inside Gmail: Gemini.
  • Routines that start when an email or a Slack message arrives: ChatGPT Work.
  • Research where you must control which sources it reads: ChatGPT deep research.
  • A company that has standardised on one tool: that tool.

Does the account matter? Yes

The same app can behave differently on a personal account and a work account.

  • Work data goes on the work account. Connect your work account for work data, never a personal one, so your company's rules and settings apply.
  • Claude, Team and Enterprise plans: an owner adds connectors for the company before you can use them. You may see "Request" instead of "Connect to Claude" until they do.
  • Gemini, work and school accounts: which models and features you get depends on your company's Google Workspace licence, and your admin controls them. Chat history is kept for 18 months by default. Task, custom apps and skills are for personal accounts for now.
  • Features arrive in waves. If you cannot see something in this lesson, the usual reasons are a rollout still in progress, your plan, your country, or an admin setting. It is not you.

Where to find each one

Claude

on the web, in the desktop app and on your phone. The desktop app has two places: Claude (chat, with Cowork built in) and Code (for software). There are also add-ins: Claude for Excel, Word, PowerPoint and Outlook, and Claude for Google Workspace (beta).

ChatGPT

on the web, on your phone, and in one desktop app that holds Chat, Work and Codex. There are add-ins for Excel, Word, PowerPoint and Google Sheets.

Gemini

in the Gemini app on the web, on your phone, and in its desktop app for Mac. At a company on Google Workspace, it also lives inside Gmail, Docs, Sheets, Slides, Drive, Chat and Meet: look for "Ask Gemini" at the top right of Gmail or Docs. Gemini Notebook (renamed from NotebookLM) is its tool for answers from your own files.

On your own work · nothing private

Try it (10 minutes)

Nothing private goes in. You only look and decide.

  1. Find out what is approved (2 minutes). Check your company's AI guidance, or ask your manager or IT, which of the three you may use for work data, and on which account.
  2. List three tasks from your week (2 minutes), as short titles only, such as "weekly status note" or "tidy the budget sheet".
  3. Pick a tool for each (3 minutes), using the "best at" table. Write one line on why. If your company approves only one tool, write how you would do the task in that one.
  4. Open your main tool and find three things (3 minutes): the model menu next to the message box, the "+" menu in the message box, and the Customize or Settings page. The next lessons use all three.
Three questions · pick one answer each

Quick check

  1. 1Your company approves ChatGPT for work. You prefer Claude. You need a summary of an internal report. What do you use?

The answer: A For company data, the approved tool on the work account comes first. A personal preference never beats the company's data rules.
  2. 2Your team meets in Google Meet and wants notes and actions from every meeting. Which fits best?

The answer: B Gemini's note-taking is built into Google Meet. Claude's pages name no meeting recorder, so give Claude the transcript or your notes instead.
  3. 3You are signed in to Gemini with your work account and want to hand over a task with Task. You cannot find the button. Why?

The answer: A With a work account, start with Gemini inside Gmail, Docs and Sheets. For a handed-over task at work, use the agent in Claude or ChatGPT, if your company approves it.

The idea

Three companies make the three big AI assistants for work. Anthropic makes Claude. OpenAI makes ChatGPT. Google makes Gemini.

Not long ago the choice was mostly about which one wrote best. In 2026 all three can also take a task, work through it in steps, use your files and apps, and hand back a finished document, sheet or deck. So the useful question is no longer "which one is smartest?" It is "which one is best for this job, on the account I have?"

Common mistakes

  • Choosing by test-score headlines. Each company publishes the tests it wins. Your own task is the better test.
  • Using a personal account for work data, because it is the one you already had open.
  • Expecting every feature on every plan. Plan, country, admin settings and rollouts all decide what you see.
  • Copying the same files into all three "to compare". Every copy is one more place your data lives. Compare on something public or made up.
  • Forcing one tool to do everything. If your company allows two tools, use the one that is best at the job, such as ChatGPT or Gemini for pictures.
  • Treating my ranking as your company's rule. It is my advice for when you can choose. Your company's approved tool comes first.

What to check before you trust it

  • The right tool and the right account: approved by your company, signed in as your work self.
  • The feature is really there: if your menu does not show it, check your plan or ask IT before you plan around it.
  • The line is still true: these products change every week. This page is as of Oct 2026.
  • The work itself: whichever tool made it, check names, numbers and dates against your sources before you send it (lesson: How do you check an AI answer before you use it?).
